Privacy Policy – Study Association Intermate

Study Association Intermate finds the the privacy of its members very important. To provide a clear idea of how we maintain this privacy, a privacy policy has been written. In case of any questions or remarks on our policy, please contact the Board of Intermate (contact details can be found at the bottom of this document).

What kind of personal data does Intermate collect?

Intermate stores the following types of data of its members:

  • Personal details (extensive, including address, date of birth, profile pictures and gender
  • Contact details (email address, phone number)
  • University subscription details (student number, subscription at Eindhoven University of Technology)
  • Study program details (study program, study phase)
  • Name and number of bank account
  • Participation history of activities
  • Communication language preference
  • Privacy preferences
  • Moment of subscription at Intermate
  • Purchase overview (candy, cans, drinks, activities)

Why do we collect your data?

Intermate needs the data of its members in order to function optimally. In the subparagraphs below, it is described which data will be used for which purpose.

Attendance of activities

Intermate keeps track of which members attended which activities organized by Intermate. This data is used for statistical purposes and to estimate the number of participants for upcoming activities. For this we save your name and email address.

Purchase history

In order to keep a correct financial administration and to rectify any potential errors made by the system, Intermate keeps track of the products that members buy at Intermate when paying digitally. This includes purchases of candy, cans, drinks and activities. For this, we keep track of your name and the products you purchased.

Financial History

Intermate is legally obliged to store any declarations made by members. This means that the names and bank account numbers of members who make a declaration will be stored for a period of eight years after the declaration.

Informing our members

Intermate informs its members about relevant matters about Intermate itself or the university, or that are otherwise relevant to our members. For this Intermate needs some of your personal data, including name, phase of study, study program, email address and postal address.

Mailings from relevant companies

Intermate can send its members emails containing sponsored information from companies that are relevant to the member. For this, Intermate uses the member’s name, email address, study program and study phase.

Maintaining association documents

Intermate uses your personal data for documentation about the association itself. This includes minutes of meetings that members attended, but also yearbooks. For this we will use your name, generation, study phase and study program.

Who will have access to your data?

Your personal data is stored in secured databases. The only members that have access to these databases are the board of Intermate and a few members of the IT committee.

Furthermore, some personal details, contact details, study program details, preferred communication language, and moment of subscription at Intermate will be provided to specific committees or committee members if needed for the preparations or execution of an activity for which that specific member has subscribed.

Lastly, subscriptions for most activities of Intermate happens through subscribing on the Intermate website, which is visible for members.

What are my rights in respect to the data?

Because Study Association Intermate is a Dutch association, it falls under the General Data Protection Regulation of the European Union. This means that you have the following rights:

  • Access your information
  • Change or correct your information
  • Erase your information
  • Restrict our use of your personal information under certain circumstances
  • Obtain your personal information in portable form
  • Object to our use of your personal information under certain circumstances

Should you wish to make use of any of these rights, then please contact the board of Intermate (contact details can be found at the bottom of this document). These requests will then be executed as soon as possible.

How is my personal data secured?

Intermate finds it very important that all data of its members is secured well. For this reason, suitable measures have been taken to prevent misuse, theft, undesired publication, unpermitted access or unpermitted changes. If you have the impression that your personal data is not well secured or if you suspect any misuse, please contact the board of Intermate (contact details can be found at the bottom of this document).
